ERPNext is open-source software under the GNU GPL version 3 license, and its source code is public. It runs on the Frappe Framework, which uses the MIT license. Your business can host it or use a hosting provider.

You can also change your implementation partner, us included, and keep your system and your data. Still, moving providers takes good records, backups, and a proper handover.

Useful changes without heavy coding

Teams can add fields, set approval steps, and adjust printed forms. These changes cover many common requests, and they are usually easier to maintain than changes to the main code.

Deep changes are different, because they need skilled developers and more testing during upgrades. We recommend changing the system only where the business value is real.

Setup takes real business work

Installing the software is only a small part of the project. Your team must agree on accounts, warehouses, items, customer data, permissions, and approval rules. Opening balances and stock counts must also be trustworthy.

In our experience, this is where projects slip, and it's rarely the software. It's duplicate customers, inconsistent item codes, or a stock count nobody trusts. Because documents are linked, a wrong item or price on one order moves into every step after it.

We recommend cleaning data before import and checking a sample with each department. We'd also start with the areas that hurt most today and add the rest once the first group is stable. Switching everything on in the first month tends to overwhelm the team.

Staff face a learning curve

ERPNext may feel busy to staff who used paper or a spreadsheet. The screens follow a shared pattern, but the process can be new, so people need to know what they do and why.

Training should use the company's real work. Sales staff can enter a typical order, and store staff can receive and issue familiar items. A quick tour of the menus is forgotten by the next morning, but practice with real invoices sticks.

Management reports may need changes

The standard reports answer many daily questions. Finance can review money due, profit, budgets, and account balances, while stock teams can review quantity and movement.

Your existing board pack may use special groups or layouts, and rebuilding it can require setup or developer work. Put those reports in the project scope before go-live.

Hosting and upgrades need an owner

Free software still needs a safe place to run. Someone must handle backups, monitoring, security updates, and recovery plans, and a managed host or support partner can take on this work.

Major upgrades need testing, especially when you use added apps or custom code. Frappe's supported versions schedule says version 14 reached its end of support on January 31, 2026. Version 15 is planned through the end of 2027, and version 16 through the end of 2029.

Support quality depends on the provider

Open-source access doesn't include a help desk for every user. Support may come from a paid plan, the community, or a partner, and response times and service depth can differ.

What does ERPNext cost beyond the license

The software license costs nothing, but the full project does. The main costs are hosting, setup, data work, training, support, and custom changes. These costs depend on your needs, not only your staff count.

Data quality can have a large effect. Clean customer, supplier, item, and account records take less time to move, while unclear approval rules and old reports can add work.

Scope also matters, because starting with every available area can raise cost and risk. A focused first phase is often safer. Add later areas after staff use the first set well.

We don't recommend choosing from a generic price alone. First list the processes, reports, data, users, and outside systems involved. Then ask for a scope that states what is included.

How do ERPNext pros and cons change in Saudi Arabia

Saudi businesses need to look beyond general ERPNext reviews. Arabic and right-to-left screen layouts are available, and tax invoices can use bilingual print designs.

However, ZATCA Phase 2 isn't part of ERPNext core. It runs through a compliance app added to ERPNext, which handles clearance, reporting, and the cryptographic stamp.

Other business areas use separate apps too. HR and payroll have used the Frappe HR app since version 14, and loans moved to Frappe Lending in version 15.

This app model isn't a blocker, but it adds one important upgrade check. Each required app must support the ERPNext version you plan to use. We would rather find a gap on a test copy than on the day invoices stop clearing.

Who is ERPNext a good fit for

ERPNext often suits small and midsize companies with standard processes. Trading, distribution, services, contracting, and light production are common fits, including factories with a standard bill of materials that lists the parts for each product.

It also helps when leaders want shared data across departments. The company should be ready to clean data and change some habits. Name one internal owner to guide decisions and support after launch.

Take more care when the business has complex group reporting across countries. The same applies to many outside integrations or heavy custom needs. ERPNext may still fit, but it needs a deeper review.
